Terms & Conditions

These Terms and Conditions outline the basis on which counselling services are offered. By attending sessions with Southcott Psychotherapy, you agree to the terms below. If you have any questions, please feel free to raise them with me directly.

1. Services Provided

Southcott Psychotherapy offers individual counselling sessions, either online via Zoom or in person (where available). Sessions are typically 50 minutes long and are scheduled weekly or fortnightly, depending on what is agreed.

2. Fees and Payment
  • Session fees are currently £55 for 50 minutes.

  • Payment is taken via PayPal unless an alternative is arranged.

  • Invoices are usually sent automatically after each session or in advance, as agreed.

  • Non-payment without communication may result in sessions being paused or cancelled.

3. Cancellations and Missed Sessions
  • You are required to give at least 48 hours' notice to cancel or reschedule a session.

  • Cancellations made with less than 48 hours' notice will be charged in full.

  • If you are more than 15 minutes late without contact, the session may be considered cancelled.

4. Confidentiality

All sessions are confidential and held in accordance with the ethical guidelines of the BACP and the National Counselling and Psychotherapy Society (NCPS). There are exceptions where confidentiality may need to be broken:

  • If there is a risk of serious harm to you or someone else

  • If you disclose abuse of a child or vulnerable adult

  • If required by law (e.g., a court order or acts of terrorism)

Where possible, any breach of confidentiality will be discussed with you first.

5. Supervision

To ensure safe and ethical practice, I attend regular clinical supervision. Client material may be discussed in supervision but is anonymised to protect your identity.

6. Record Keeping
  • Brief, anonymised notes are kept securely after each session.

  • Notes are stored in accordance with UK GDPR and are held for 6 years, after which they are securely destroyed.

  • You have the right to request access to your records at any time.

7. Termination of Therapy

You are free to end therapy at any time. Wherever possible, I recommend a planned ending to allow for reflection and closure.
I may also suggest ending or referring you to another service if:

  • Therapy is no longer suitable

  • Your needs would be better met elsewhere

  • There are concerns about safety or ethical practice

8. Technology and Online Working
  • It is your responsibility to ensure you are in a private, safe space for online sessions.

  • If technical difficulties occur, I will attempt to reconnect or offer to continue by phone.

9. Changes to Terms

These terms may be updated periodically. Any significant changes will be discussed with you in advance.
